This is the privacy notice of Base Lift Services Ltd, a company registered in England and Wales under company number 11710735. We trade as Base OnLevel, the UK's exclusive supplier and installer of OnLevel platform lifts.

We are the data controller for the personal information we collect through www.baseonlevel.co.uk and through any installation, survey, or quotation engagement you have with us.
Introduction
This notice informs you of our policy regarding the information we collect and record about you. It sets out the conditions under which we process any information we collect from you or that you provide to us. It covers personally identifiable information as well as anonymised information. In the context of the law, and this notice, process means collect, store, transfer, use, or otherwise act on your data.
We take the protection of your privacy and confidentiality seriously. We understand that everyone who contacts us or visits our website is entitled to know that their personal data will not be used for any purpose unintended by them, and will not accidentally fall into the hands of a third party.
We undertake to preserve the confidentiality of all information you provide to us. Our policy complies with UK law including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
The law requires us to tell you about your rights and our obligations to you in regards to the processing and control of your personal data. We set those out below.
The lawful bases on which we process your information
The law requires us to determine under which of six defined lawful bases we process each category of your personal information. Here is how we apply them:
1. Performance of a contract with you
When you request a site survey, accept a quotation, or commission a platform lift installation from us, a contract is formed between you and us. To carry out our obligations under that contract we must process the information you give us, including your name, installation address, contact details, and site requirements. We process this information for as long as the contract between us is active and for a reasonable period afterwards for warranty, service, and statutory record-keeping purposes.
2. Your consent
When you browse our website, submit a contact form, or request marketing information, you provide consent for us to process the information you give us. Wherever possible we aim to obtain your explicit consent — for example, by asking you to agree to our use of cookies. You can withdraw your consent at any time by emailing info@baseonlevel.co.uk.
3. Legitimate interests
We may process your data where we have a legitimate interest in doing so and your rights do not override that interest. Examples include: record-keeping for the proper administration of our business, responding to enquiries from you, protecting and asserting our legal rights, obtaining professional advice, and protecting your interests where we believe we have a duty to do so.
4. Legal obligation
We are subject to UK law and may be required to process your data to comply with a statutory obligation — for example, providing information to HMRC, the Health and Safety Executive, or in response to a lawful request from a competent authority.
Information we collect
We collect the following categories of personal data when you engage with us:
- Contact details: name, email address, telephone number (optional), postal address of the installation site.
- Enquiry details: the type of lift you are interested in, the property type, your timescale, and any site-specific information you choose to share.
- Technical survey data: if we carry out a site survey, we collect measurements, photographs, and structural notes relevant to the installation.
- Website analytics: your IP address, browser type, device type, pages visited, referrer, and approximate geographic location. This data is aggregated and anonymised wherever possible.
- Cookies and similar technologies: see the Cookies section below.
We do not routinely collect special category data (sometimes called sensitive data). If a customer chooses to disclose information about a disability or medical condition in order to help us specify the correct lift, we process that data only to fulfil the contract and with the customer's explicit consent.
Information from contact forms and enquiries
When you submit an enquiry through our website contact form, or send us an email, we collect the information you provide in order to respond. We record your request and our reply in our internal systems so we can track our communications with you and provide a high quality service.
The data is stored on our secure web infrastructure and in our email system. We retain enquiry correspondence for a reasonable period to support warranty and service obligations, and to meet statutory record-keeping requirements. Enquiries that do not progress to a contract are typically deleted after 24 months unless you have asked us to retain them.
We do not share contact form submissions with third parties, except where required by law or where you have explicitly consented (for example, if we arrange for a sub-contractor engineer to contact you directly about your installation).
Cookies and website analytics
Cookies are small text files placed on your device when you visit our website. We use them for the following purposes:
- Essential cookies: required for the website to function correctly (for example, storing your cookie preferences).
- Analytics cookies: we use Google Analytics (GA4) to understand how visitors use the site so we can improve it. GA4 data is aggregated and anonymised.
- Bot protection: Cloudflare Turnstile is used on our contact form to protect against automated abuse. Turnstile collects minimal browser metadata and does not track you across sites.
You can control cookies through your browser settings. If you disable cookies, some features of the website may not work as intended. We do not use marketing or third-party advertising cookies.
Who we share your data with
We share your personal data only with:
- Our engineers and sub-contractors where necessary to perform a site survey, deliver a lift, or complete an installation on your behalf. All engineers are bound by confidentiality and data protection obligations.
- Our software providers (Google Analytics, Supabase for form submissions, Netlify for website hosting, Cloudflare for security) — all of whom process data on our behalf under strict data processing agreements.
- Regulatory or legal authorities where we are legally obliged to disclose, such as in response to HMRC, HSE, or court orders.
We do not sell, rent, or trade your personal data to any third party for marketing or commercial purposes.
Where we store your data
Your personal data is stored on secure UK and EU-based cloud infrastructure (Netlify, Supabase, Google). Where data is transferred outside the UK or EEA, we ensure appropriate safeguards are in place — for example, Standard Contractual Clauses or adequacy decisions from the UK Information Commissioner's Office (ICO).
We retain your data only for as long as necessary to fulfil the purpose for which it was collected, to meet our contractual and legal obligations, and to protect our legitimate interests. Typical retention periods are:
- Website enquiries that do not progress to a contract: up to 24 months.
- Active contracts (survey, installation, service): for the duration of the contract plus 7 years for accounting and warranty purposes.
- Anonymised analytics data: up to 26 months in Google Analytics.
Your rights under UK GDPR
You have the following rights in relation to your personal data:
- Right of access — you can request a copy of the personal data we hold about you.
- Right to rectification — you can ask us to correct inaccurate or incomplete data.
- Right to erasure ("right to be forgotten") — you can ask us to delete your data, subject to our legal obligations to retain certain records.
- Right to restrict processing — you can ask us to pause processing in certain circumstances.
- Right to data portability — you can ask us to provide your data in a structured, machine-readable format.
- Right to object — you can object to processing based on legitimate interests, including for direct marketing.
- Right to withdraw consent — where we rely on consent, you can withdraw it at any time.
To exercise any of these rights, please email us at info@baseonlevel.co.uk. We aim to respond within one month, as required by UK GDPR. There is no fee for reasonable requests.
If you are unhappy with how we have handled your personal data, you also have the right to lodge a complaint with the Information Commissioner's Office (ICO), the UK's independent authority set up to uphold information rights.
Security measures
We take reasonable technical and organisational measures to protect your personal data from unauthorised access, loss, misuse, alteration, or destruction. These include encrypted transport (HTTPS), secure cloud infrastructure, restricted access controls, bot protection on web forms, and regular review of our security practices.
No internet-based service can be guaranteed to be 100% secure. However, we use industry-standard protections and take any security breach seriously. If a breach affects your rights and freedoms, we will notify you and the ICO as required by law.
Changes to this policy
We may update this privacy notice from time to time to reflect changes in our practices, the services we offer, or the law. Material changes will be highlighted on this page with an updated "Last updated" date. We encourage you to review this notice periodically.
